Privacy Policy

Apollo Networks ("Apollo," "we," "us," or "our") is committed to protecting the privacy of all members and players of our community. This Privacy Policy explains what personal information we collect, how we use it, how we protect it, and your rights in relation to that information.
This Privacy Policy applies to all Apollo Networks services, including our FiveM game server, Discord server, website, and Tebex storefront. It is to be read alongside our Terms of Service.
Apollo Networks is operated from Australia and handles personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Where players are located in other jurisdictions, we also endeavour to comply with applicable local privacy laws to the extent reasonably practicable.
1. What Information We Collect
1.1 Information You Provide
We may collect information you provide directly to us, including:
Your Discord username and user ID when you join our Discord server or interact with our community;
Your in-game name, character names, and roleplay history on our server;
Support requests, appeals, or other communications you send to our team;
Purchase information (name, email, and transaction details) when you buy supporter packages through our Tebex storefront; and
Any other information you voluntarily provide to our staff or community.
1.2 Information Collected Automatically — Game Server
When you connect to the Apollo Networks FiveM game server, we automatically collect:
IP address and general geographic location derived from it;
FiveM / Cfx.re account identifier, which is the unique identifier associated with your Cfx.re account and linked to your game licence;
Xbox Live identifier (XUID), where your FiveM client is linked to an Xbox Live / Microsoft account;
Steam identifier (SteamID64), where your FiveM client is linked to a Steam account;
Hardware identifiers, including CPU, GPU, disk, and motherboard identifiers, used for ban enforcement purposes;
A list of software processes and modules running on your system at the time of connection, for the purpose of anti-cheat and integrity scanning;
In-game activity logs, including actions, interactions, and chat messages;
In-game screen captures, which may be taken by our systems or supervising staff during gameplay or an investigation to record evidence of suspected rule breaches. Screen captures are treated as sensitive enforcement data and are subject to the same handling and retention rules as other enforcement records; and
Connection timestamps and session duration.
Multiple identifiers (Cfx.re, Xbox Live, Steam, hardware) are collected together and linked to your player record. This is necessary to reliably identify accounts and enforce bans across attempts to evade using alternate accounts or platforms.
1.3 Information Collected Automatically — Discord
When you interact with our Discord server, we may collect:
Your Discord user ID and username;
Roles assigned to your account within our server;
Messages sent in our server channels to the extent visible to our moderation bots; and
Records of moderation actions, warnings, mutes, or bans applied to your account.
1.4 Automated Anti-Cheat Scanning
As described in our Terms of Service and with your explicit consent upon connecting to our game server, our automated anti-cheat systems access system-level information from your device. This is limited to information reasonably necessary to detect cheating software, unauthorised modifications, or ban evasion. Automated scanning is performed locally at the point of connection. We do not install persistent software on your device.
1.5 Manual Scans
Where Apollo Networks staff have reasonable grounds to suspect a breach of our Terms of Service, a player may be asked to consent to a manual scan. A manual scan involves a staff member supervising the player installing and running approved third-party scanning software on their device. The following applies to data collected during manual scans:
Only software approved by Apollo Networks management will be used;
The supervising staff member will observe scan results solely for the purpose of making an enforcement decision;
Staff members are required to treat all information observed during a manual scan as confidential and must not record, screenshot, or retain any information beyond what is strictly necessary for the relevant enforcement decision;
Scan results will only be shared with relevant Apollo Networks management and will not be disclosed outside of Apollo Networks except where required by law; and
Results will be retained only for as long as necessary for the enforcement purpose, after which they will be deleted.
Consent to a manual scan is sought separately at the time of the request. You have the right to decline; however, as set out in our Terms of Service, a refusal may have consequences for your access to the server. Where a manual scan is declined, no scan data is collected.
2. How We Use Your Information
We use the information we collect for the following purposes:
Operating and maintaining the Apollo Networks game server and community;
Enforcing our Terms of Service, including detecting and acting on cheating, exploiting, and misconduct;
Identifying players across sessions and platforms using linked identifiers for ban enforcement and evasion detection;
Processing purchases and delivering supporter packages and perks;
Communicating with you about your account, purchases, or support requests;
Maintaining records of bans and sanctions for enforcement continuity;
Improving the quality and security of our services; and
Complying with legal obligations, including responding to lawful requests from authorities.
We do not use your personal information for advertising, marketing to third parties, or any commercial purpose unrelated to the operation of Apollo Networks.
3. Sharing of Information
We do not sell your personal information. We may share information in limited circumstances:
3.1 Within Our Team
Personal information may be accessible to Apollo Networks staff and administrators to the extent necessary for them to perform their roles, including moderation and support.
3.2 Service Providers
We use third-party services to operate Apollo Networks, including:
Tebex — for processing supporter package purchases. Tebex's own privacy policy governs their handling of your payment information;
Discord — for community communication. Discord's privacy policy governs their handling of your data; and
Server hosting providers — for hosting the FiveM server infrastructure.
We take reasonable steps to ensure these providers handle information appropriately.
3.3 Legal Requirements
We may disclose your information where required to do so by law, regulation, or a lawful request from a government authority or law enforcement agency.
3.4 Other FiveM Server Networks
We do not share ban or player data with other FiveM server networks unless you have consented to participation in a shared ban system, or where such sharing is necessary to prevent serious harm to our community.
4. Data Retention
We retain personal information for as long as is necessary to fulfil the purposes for which it was collected, or as required by law. As a general guide:
Player profile and progression data (including your characters, inventory, vehicles, property, job history, and other in-game state): retained indefinitely so that your progress is preserved and you can return to the server at any time. This data is only deleted upon a verified account deletion request, or where it is associated with a permanently banned account at our discretion;
In-game activity logs and connection data: retained indefinitely;
Ban and sanction records: indefinitely, for enforcement continuity and ban evasion prevention;
Hardware identifiers and platform identifiers (Cfx.re, Xbox Live, Steam) collected for ban enforcement: retained indefinitely;
In-game screen captures: retained as part of the relevant enforcement record for as long as that record is maintained, and deleted when no longer required;
Discord moderation records: for as long as reasonably necessary for moderation purposes.
Automated anti-cheat scan data (process lists and loaded modules) is used in real time for integrity checking and is not retained beyond the current session unless a violation is detected, in which case relevant evidence may be retained as part of an enforcement record.
Manual scan data observed by a supervising staff member is not formally recorded unless a violation is identified. Where a violation is identified, only the information necessary to support the enforcement decision will be retained as part of the enforcement record. All other information observed during a manual scan is not retained.
5. Security
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These measures include access controls on our systems and limiting staff access to data based on their role.
However, no system is completely secure. We cannot guarantee the absolute security of information transmitted over the internet or stored on our systems, and we encourage you to take reasonable precautions when sharing information online.
6. Your Rights
Subject to applicable law, you have the following rights in relation to your personal information:
Access: You may request access to the personal information we hold about you;
Correction: You may request that we correct any inaccurate or incomplete information;
Deletion: You may request that we delete your personal information, subject to our legitimate need to retain it for enforcement or legal compliance; and
Complaints: You have the right to make a complaint if you believe we have mishandled your personal information.
To exercise any of these rights, please contact us through our official Discord server. We will respond to requests within a reasonable timeframe and in accordance with our obligations under applicable privacy law.
If you are not satisfied with our response to a complaint, you may refer your complaint to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
7. Children's Privacy
Apollo Networks does not knowingly collect personal information from persons under the age of 16. Our Terms of Service require all participants to be aged 16 or older. If you believe a person under 16 has provided us with personal information, please contact us and we will take steps to delete it.
8. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will post a notice in our Discord server. Your continued use of Apollo Networks services after any update constitutes your acceptance of the revised policy.
